DealerAddendums LLC ("us", "we", or "our") operates the DealerAddendums platform at app.dealeraddendums.com and the dealeraddendums.com website (together, the "Service"). This page explains what information we collect, how we use it, and the choices you have. Terms used here have the same meaning as in our Terms of Use.

By using the Service, you agree to the collection and use of information in accordance with this policy. We do not sell your personal information, and we share it only as described below.

Information we collect

Account and contact information. When you sign up or are invited, we collect information needed to identify and contact you and to set up your account — such as your name, email address, phone number, dealership or company name, and business address.

Dealership business data. To provide the Service, we process the business data you submit or connect, including vehicle inventory, options and pricing, addendum, buyers-guide and label content, your dealership's branding, and the names and email addresses of the users you invite.

Billing information. Subscription and label charges are handled by our third-party payment processor. We receive billing details such as invoice history and plan status; we do not store full payment-card numbers on our systems.

Sign-in credentials. The Service supports passwordless sign-in. Depending on how you sign in, we process one-time email sign-in codes and/or passkey (WebAuthn) credentials, and a password if you choose to set one.

Log data. We collect information your browser or device sends when you use the Service ("Log Data"), which may include your IP address, browser type and version, the pages you visit, the date and time of your visit, time spent on pages, and similar diagnostics.

Cookies. Cookies are small data files that may include an anonymous unique identifier, sent from a website to your browser and stored on your device. We use cookies to keep you signed in, remember your preferences, and understand and improve how the Service is used. You can set your browser to refuse cookies or to alert you when a cookie is sent; if you do, some features of the Service may not function, and we recommend leaving them enabled.

Information we do not access or store

DealerAddendums is a vehicle-merchandising tool — not a deal, F&I, or payment system. We do not view, access, read, or store:

Your customers' personal information. We do not receive the names, contact details, identification, financial details, or other personal information of the consumers who buy or inquire about your vehicles.
Sale or deal information. We are not part of your deal, F&I, or sales-transaction flow, and we do not receive sale prices, buyer agreements, trade-in details, financing terms, or credit applications.
Credit-card or payment-card data. Subscription and label payments are handled entirely by our PCI-compliant payment processor; full payment-card numbers are never transmitted to or stored on our systems.

The information we handle is limited to your vehicle inventory and pricing data, your dealership's branding and document content, and the account contact details of the users you invite (described above).

How we use your information

We use the information we collect to provide and improve the Service; to authenticate you and keep your account secure (including passwordless sign-in); to communicate with you and respond to requests; to process subscriptions, orders, and label shipments; to provide customer support; to detect, prevent, and address fraud, abuse, and security issues; and to comply with our legal obligations.

Do Not Track

We support the Do Not Track ("DNT") browser preference. You can enable or disable DNT in your web browser's settings.

Service providers and sub-processors

We use trusted third-party companies to help us operate the Service. They have access to your information only to perform tasks on our behalf and are obligated not to use or disclose it for any other purpose. Our principal providers include:

Amazon Web Services (AWS) and Supabase — cloud hosting, database, and file storage
Stripe — subscription and payment processing
Mailchimp Transactional (Mandrill) — transactional and account email
HubSpot — customer-relationship management and related communications
XPS Ship and USPS — label and supply fulfillment and shipping
Google Analytics — usage analytics

The specific providers we use may change over time as we operate and improve the Service; this list reflects our principal providers as of the date above.

How we share information

We do not sell your personal information. We share it only: with the service providers described above; when required by law, subpoena, or valid legal process, or where we reasonably believe disclosure is necessary to comply with the law, respond to lawful requests from authorities, or protect the security and integrity of the Service; and in connection with a merger, acquisition, financing, or sale of assets, in which case we will continue to protect your information consistent with this policy.

Security

The security of your information is important to us, and we maintain reasonable, commercially acceptable administrative, technical, and physical safeguards appropriate to the nature of the information we store, including support for passkeys and other modern sign-in methods. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.

Data retention

We retain your information for as long as your account is active and as needed to provide the Service, and afterward as required to comply with our legal obligations, resolve disputes, and enforce our agreements. Downgraded accounts are retained for a grace period and may then be archived, as described in our Terms of Use.

International transfer

We are based in the United States and process information there. If you access the Service from outside the United States — including from Canada — your information, including personal information, may be transferred to and processed in the United States, where data-protection laws may differ from those in your jurisdiction. By providing information to us, you consent to that transfer and processing.

Your choices and rights

You can review and update much of your account information by signing in to the Service. You can opt out of marketing emails using the unsubscribe link in those messages. You may also request access to, correction of, or deletion of your personal information by contacting us, and we will respond consistent with applicable law. Depending on where you live (for example, California or other U.S. states with privacy laws, or Canada), you may have additional rights regarding your personal information; contact us to exercise them.

Links to other sites

The Service may contain links to sites we do not operate. If you click a third-party link, you will be directed to that third party's site. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party site. We encourage you to review the privacy policy of every site you visit.

Children's privacy

The Service is intended only for users who are at least 18 years old, and it does not address anyone under 13 ("Children"). We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us, and if we learn we have collected it without verified parental consent, we will take steps to remove it.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. Changes are effective when posted on this page. If we make material changes, we will notify you by email or by posting a prominent notice in the Service. Your continued use of the Service after changes take effect constitutes your acknowledgment of the updated policy.
